Case Acceptance Lab

The Case Acceptance Layer vs HighLevel's free dental template

Short version: they're not alternatives. One installs on top of the other. But the honest comparison is still worth having, because for a lot of practices the free template is genuinely enough.

What's actually in the free template

We opened it and mapped it: six workflows, a three-step discount funnel, six calendars, and a pipeline with three stages — New Lead, Hot Lead, New Booking. It captures a form fill, sends reminders, confirms a booking, and asks for a review. For a practice that wants more cleanings on the schedule, that's a reasonable start and it costs nothing.

The full workflow-by-workflow audit is here, including what each of the six workflows does.

When the free template is enough

If the practice's revenue is cleanings, hygiene and the occasional crown, the free template covers the shape of that business. High-ticket follow-up machinery on a practice that doesn't present five-figure cases is a solution looking for a problem, and it'll sit there unused.

It's also enough if you're still proving the relationship. Install the free template, get the booking flow working, and see whether the practice actually presents treatment plans it doesn't close. If they don't, stop here.

When it isn't

The moment a practice does implants, All-on-4, Invisalign or veneers, the money moves to a different part of the funnel — after the appointment, not before it. The free template ends at "booked," which is exactly where a $28,000 case starts being decided. That's the gap, and it's the only gap this product addresses.

You don't choose between them

The layer installs on top. If a practice has nothing yet, load the free template first, get the booking flow live, then add this. Nothing gets ripped out and nothing is duplicated.
